Workspace administration

Purpose

As the team grows, Sara needs one place to see who belongs to it and what each person, group and the whole workspace may do. Workspace administration is that place, with tabs for members, groups, roles and policies.

Before you start

  • This page exists only in team and organization workspaces. In a personal workspace, which has exactly one Seat, it is not offered.
  • You must be allowed to view members. Owners and Admins are; the plain Member role is not.
  • Each tab needs its own permission, and changing things needs a "manage" permission. Some actions also depend on the workspace plan.

Steps

  1. Select the workspace in the account menu at the bottom of the sidebar, then choose "Workspace administration" there. You can also open Settings and pick "Workspace administration" under "Workspace".
  2. Read the header. It shows the workspace name and a line such as "Organization · [plan name]", or "No active plan".
  3. Pick a tab: "Members", "Groups", "Roles" or "Policies". Only the tabs you may use are shown.
  4. On Members and Groups, type in the search box ("Search members" or "Search groups") and press Enter or the search button. Use "Previous" and "Next" to move through the results, 50 at a time. Roles and Policies have no search.
  5. Use the button at the top right of the tab to add something: "Add member", "Create group" or "Create role". The Policies tab has "Edit workspace policies" instead, and it also holds the "Data Privacy Mode" and "Sensitivity check" cards (see Use Data Privacy Mode).
  6. Use the row buttons: the pencil on a member ("Manage [username]"), "Manage" on a group, "View" or "Edit" on a role.
  7. If a list fails to load, an error appears with a "Retry" button. While loading, the page says "Loading members…", "Loading groups…" or "Loading roles…".
  8. Follow the detailed guides: add a member, change a member, groups, roles and policies.

Expected result

You see the people, groups and roles of the selected workspace and can change them within your own permissions. Everything you change applies only to this workspace and takes effect at once.

Troubleshooting

Problem What to do
"Workspace administration" is not in Settings You are in a personal workspace or cannot view members. Switch workspace or ask an Owner or Admin.
"Workspace administration access is required." The same cause, reached through a link. Check which workspace is selected.
A tab is missing Your role lacks the view permission for it. Typing the address does not help.
Buttons are missing or greyed out Missing or disabled management buttons indicate missing permissions. A plan restriction may instead appear as an error when you save.
The list says "No members found." The search matches nobody. Clear the search box and search again.
An error with "Retry" Choose "Retry" once your connection is back.
