Ask questions about your knowledge bases

Open in Agentum

Purpose

A customer asks Neda whether the microwave she bought three weeks ago can still be returned, and Neda does not want to guess or scroll through a PDF. Mention the knowledge base in your message and the answer comes back with numbered sources you can open, so you can check it before you reply.

Before you start

You need at least one knowledge base with Ready items (see "Add files, links and recordings to a knowledge base"). You can mention any knowledge base you are allowed to see: your private ones and the ones shared with the workspace.

Steps

  1. Open a chat, the new-chat page or a project's chat box. In the message box, type @. A list Knowledge bases opens above the box. You can also select the + button and choose Add knowledge (its hint reads Type @ to ask about a knowledge base), which opens the list with its own Search knowledge bases field.
  2. Keep typing after the @ to narrow the list by name, then select a knowledge base. Press Enter to pick the first match. While the list loads it says Loading knowledge bases; if nothing matches it says No knowledge bases found.
  3. The knowledge base appears as a chip above the message box. You can add more; up to 10 per message. At 10 the list says You can mention up to 10 knowledge bases. Select the x on a chip (Remove [name]) to take it out.
  4. Write your question as usual, for example "Can a microwave bought three weeks ago still be returned?", and send it. The chips are sent with that message only; mention them again in the next message if you want them again.
  5. While the agent works, the activity line shows the tool Search knowledge. You do not need to name the files: the agent searches the mentioned knowledge bases and picks the passages it needs.
  6. The answer contains small numbered markers such as [1] and [2]. Select a marker to see the passage it came from, its source name, the page (Page [n]) or time in a recording (At [time]), and a link Open source [n] that opens the original file or web page at that spot.
  7. Under the answer, the collapsible list Knowledge sources shows each source the answer actually cites, as "[n] name, page or time". Select one to open it.
  8. You do not always need to mention. Chats inside a project search the project's own knowledge base and the knowledge bases attached to the project, and an agent searches the knowledge bases attached to it (see "Attach knowledge bases to an agent"). Anything you mention is added to these.

Expected result

The agent answers from your documents, marks each statement with a numbered source, and every source opens to the exact page or time. If the knowledge bases do not cover the question, the agent is told to say so rather than invent an answer.

Troubleshooting

Problem What to do
@ does nothing, or the list is empty You have no knowledge bases you can see yet. Create one first, or ask the creator to share it with the workspace.
A knowledge base is missing from the list It may be private to a colleague, or it was deleted.
The agent says it found nothing Check in the knowledge base that the items are Ready, and try Test search with the same question. Rephrase using the words in your documents.
The agent answers without sources It may have judged the question not to need them, or the passages did not match. Mention the knowledge base again and ask it to answer only from its sources.
A source has no Open source link That source has no stored original to open. Open the item in the knowledge base and use View extracted text.
Items are still Waiting or Processing They cannot be searched yet. Wait until they are Ready.
I cannot add an eleventh knowledge base A message can mention up to 10. Remove a chip first.
