Switch workspaces and manage access

Purpose

Neda has the shop's workspace and a personal one, and she needs to be sure whose chats and files she is looking at. Here you choose the workspace you are working in, switch the interface language, and find out whether you can administer the workspace.

Before you start

You need an account with an active Seat in the workspace you want to use. Workspace administration exists only for team and organization workspaces, and only for people who can view members. A personal workspace has exactly one Seat (yours) and has no administration page.

Steps

  1. Click your name at the bottom of the sidebar. Your name and the current workspace and plan appear in the first row of the menu. A "Language" row shows the current language; point to it and choose "English" or "فارسی" to change the interface language. Agentum saves the choice and reloads the page in that language.
  2. Point to that row. A list of your workspaces opens, each marked Personal, Team or Organization with its plan. A workspace that has Data Privacy Mode on also shows a shield and the label "Private". Choose the workspace you want. If the list is long, choose "Load more workspaces".
  3. Wait while the workspace loads, then check the name and plan in the first row before you edit chats, agents, files or billing. Shared catalogs may also show published items from outside the workspace.
  4. To create another workspace, choose "Create a workspace" at the bottom of the list. It opens the pricing page for workspace plans.
  5. In a team or organization workspace where you can view members, the menu also shows "Workspace administration". Choose it, or open Settings and pick "Workspace administration" under "Workspace". You land on the Members tab.
  6. Only the tabs you may use appear: "Members" needs permission to view members, "Groups" needs permission to view groups, "Roles" needs permission to view roles, and "Policies" needs permission to manage workspace settings. Reading a tab and changing it need different permissions, so a button such as "Add member" or "Create group" is hidden when you cannot manage that area.

Expected result

The sidebar, chats, agents, files and billing now show the selected workspace. Your Seat there decides what you can do. A personal subscription does not give access to an organization's workspace.

Troubleshooting

Problem What to do
"Workspace administration" is missing from the menu and Settings You are in a personal workspace, or you cannot view members. Switch to a team or organization workspace, or ask an Owner or Admin for access.
The page says "Workspace administration access is required." Your Seat cannot view members in this workspace. Ask an Owner or Admin to review your role.
A workspace you expect is not in the list Your Seat there may be disabled or removed. Ask an Owner or Admin of that workspace to restore it.
A tab or button is missing or disabled Your role does not include that permission, or the workspace plan does not include the feature. Ask an Owner or Admin, and do not switch workspaces to work around it.
An error appears under the list after you choose a workspace Choose the workspace again once the connection is stable.
The workspace shows a shield and "Private" An Owner or Admin turned on Data Privacy Mode. Only private models run there. See Use Data Privacy Mode.
