Attach knowledge bases to an agent
Open in AgentumPurpose
Neda's customers keep asking about warranty and delivery, and the answers are already written down in the shop's policy documents. Attach a knowledge base to the support assistant so it searches those documents in every chat and cites where each answer came from.
Before you start
The custom agent must belong to your current workspace and you need permission to manage agents. Attaching follows project permissions, so you also need permission to manage projects. Create the knowledge base first (see "Create and manage a knowledge base"). You can attach only knowledge bases you can see: one set to "Only me" is visible only to its creator. Save the agent at least once. Until then the section says "Save the agent first, then attach knowledge bases."
Steps
- Open "Agents", find the agent under "My agents" and select it. In the window, open "Agent actions" (the three dots) and choose "Edit agent".
- Open "Knowledge". Under "Attached knowledge bases" you see the bases this agent already searches, or "Not attached to anything yet."
- In the list "Choose a knowledge base", pick a base and select "Attach". It appears as a chip with the base's name. A base that is already attached is not offered again, and when none are left the section says "No other knowledge bases to attach."
- To stop using a base, select the cross on its chip ("Remove [name]").
- Attaching and removing take effect at once. You do not need to select "Save" for them. The search strategy and the number of results are not set here, because each knowledge base keeps its own.
- Start a chat with the agent and ask something the documents answer. The tool row shows "Search knowledge", and the answer cites numbered sources that open the original, with a "Knowledge sources" list under the reply (see "Ask questions about your knowledge bases").
Expected result
The agent searches every attached knowledge base whenever a question needs it, in every chat, and cites the passages its answer uses. It can use only the bases that the person chatting can see at that moment, so a base set to "Only me" does not help other people who chat with the agent.
Troubleshooting
| Problem | What to do |
|---|---|
| The section says "Save the agent first, then attach knowledge bases." | Save the agent once (see "Create a custom agent"), then open "Edit agent" again. |
| A knowledge base is missing from the list | Only bases you can see are offered. Ask its creator to set "Who can see it" to "Everyone in the workspace", or create a new base. |
| Attaching or removing fails | Read the message under the list and try again. You need permission to manage projects as well as agents. |
| The agent does not use the documents | Check that the knowledge base has items with the status "Ready", and ask a question the documents actually answer. The person chatting must be able to see the base. |
